Refund & cancellation policy

Eligibility

Refunds are considered for fees paid directly to Future Matrixbase for an agreed engagement. Advertising spend, marketplace commissions, and tooling costs you pay to others are outside this policy.

Timeframe

Cancellation requests should be emailed to hello@future-matrixbase.click before the kickoff call when possible. Refund assessments for completed stages use the timeline below from the written confirmation date.

Full refund

If you cancel more than five business days before the scheduled kickoff and no substantive analysis has started, we refund 100% of fees paid for that engagement, less any non-refundable third-party booking costs we incurred with your written approval.

Partial refund

If work has started — including intake review of exports — we refund the unused portion after deducting time already spent at the rates implied by the engagement confirmation. Once a findings pack has been delivered, fees for that engagement are non-refundable.

Non-refundable items

• Completed findings packs, briefings, listing annotations, and scorecards already delivered
• Deposits explicitly marked non-refundable in the confirmation email after kickoff
• Monthly scorecard fees for months already delivered

Refund process

Email hello@future-matrixbase.click with your name, engagement title, payment reference, and reason. We confirm receipt within three business days and state whether a full, partial, or no refund applies.

Processing time and method

Approved refunds are returned via the original payment method within 14 business days after approval. Bank processing times may add several days.

Cancellation and rescheduling

You may reschedule a live walkthrough once without fee if you give at least two business days’ notice. Later changes may incur a rescheduling fee stated in your confirmation. We may reschedule for illness or office closure and will offer a new slot promptly.

Deposits

Audits and briefings may require a deposit to reserve analyst time. Deposits apply toward the final fee. After kickoff, deposits follow the partial-refund rules above.

No-shows

If you miss a scheduled walkthrough without notice, that session is considered delivered for scheduling purposes. We will offer one replacement slot; additional replacements may be billed.

Work already started and materials

Time spent cleaning and reconciling exports counts as work started. We do not charge separately for ordinary office materials. If you request printed bound copies beyond the standard PDF pack, those production costs are non-refundable once printed.

Exceptions

If we cancel an engagement for reasons other than client breach, you may choose a full refund of unused fees or a rescheduled start. Statutory rights under Thai law that cannot be waived remain available.
